The Diagnostic Found the Bottleneck.
We Built the Fix Ourselves.
Larit Assurance, a loan and insurance DSA, came to us for an AI Tools Assessment. What our discovery call surfaced could not be solved with an off-the-shelf subscription, so our team designed and built the automation engine instead.

Loan & Insurance DSA
Five Things Our Discovery Call Surfaced
During the recorded 45-minute diagnostic call, Larit Assurance mapped out their weekly loan intake, file tracking, and partner handoffs.
New leads sat idle
Inquiries logged into static spreadsheets waited hours for manual follow-up in a competitive lending market where rapid response dictates conversion.
Document collection dragged
Because borrowers were not given clear initial requirements, KYC and income verification documents arrived in fragmented pieces over several weeks.
High volume of inbound status calls
'Where is my file?' was the most common call the office received, fielding questions that could be resolved with automated status alerts.
Partners had zero visibility
Sub-agents and connectors had no visibility into file progress or earned commissions without calling staff to inspect spreadsheets.
The standard SaaS fix was overpriced
A seat-based CRM plus a metered WhatsApp Business connector would have meant paying higher software bills as the business grew, penalizing scale.
From Conversation to a Working System
The same four stages every client moves through, concluding in a custom build when volume demands it.
Discovery Call
A recorded 45-minute diagnostic. We mapped how customer leads, KYC files, stage transitions, and partner payouts moved through the business without pitching prematurely.
AI & Expert Analysis
Operator and technical review of the transcript revealed the root cause: case records remained trapped in static tables without active event-driven triggers.
The Build Decision
Because standard SaaS subscriptions would become cost-prohibitive at higher volume, we scoped a custom build and credited the full $999 assessment fee toward implementation.
Delivery & Handoff
We shipped three production workflows, validated edge cases, and handed over an open system the client owns and controls completely.
Why we built this instead of prescribing a stack
Our standard assessment prescribes 3 to 7 off-the-shelf tools, kept under $60 a month, because most of the businesses we see do not need custom engineering. Larit Assurance did. The volume of leads, active case files, and channel partners meant a seat-priced CRM and a metered WhatsApp API would have gotten more expensive as the business succeeded.
So this engagement moved from the $999 Assessment into our Done-For-You Setup tier, with the $999 credited back against the build. We engineered and deployed one system on infrastructure Larit Assurance owns outright, tested end-to-end with zero per-seat software tolls.
Six Moving Parts, Each Doing One Job
We assembled a six-layer, modular stack where every component remains fully editable by the client indefinitely.
| Layer | What it does |
|---|---|
| CRM Layer | A spreadsheet-simple, responsive web interface (NocoDB) where staff log leads, update case stages, and manage connector records. |
| Database | Relational system of record (PostgreSQL) with native triggers (trg_lead_complete, trg_stage_updated) firing instantly on change.trg_lead_complete | trg_stage_updated |
| Event Relayer | Lightweight Python microservice with an in-memory debounce buffer ensuring notifications fire only once a record is fully submitted, never mid-keystroke. |
| Workflow Engine | Self-hosted n8n engine validating data payloads and routing specific communication templates to borrowers and partners by loan product type. |
| Messaging Gateway | Direct Evolution API connection delivering rich WhatsApp notifications instantly with zero recurring per-message software surcharges. |
| Reverse Proxy | Automated Caddy SSL encryption, security headers, and high uptime monitoring for the client's private database environment. |
Three Automations, Running Since Handoff
The borrower knows what to send before anyone calls them
Upon lead submission (name, phone, requirement type, ticket size), the system dispatches a WhatsApp welcome message with a tailored document checklist within 5 seconds.
The status-check call has nowhere left to happen
Every time a case transitions (Under Processing, Query Raised, Sanctioned, Disbursed), the borrower automatically receives a WhatsApp alert explaining current status and the next milestone.
Every connector sees their number without asking
Every Monday morning, the engine calculates commission totals from sanctioned files and dispatches individualized WhatsApp statements to each partner.
What Changed After Handoff
The Service Ladder
The initial 45-minute discovery call to identify operational bottlenecks and evaluate build vs. buy economics.
Complete engineering and deployment. The $999 assessment fee is fully credited toward the build.
Optional ongoing maintenance and roadmap development as operations expand.
About This Kind of Build
Why didn't the standard off-the-shelf prescription work here?
Our default $999 assessment prescribes 3 to 7 simple, off-the-shelf tools kept under $60/month, which is the right path for 80% of businesses. For Larit Assurance, high case volume and multi-agent access meant seat licenses and metered WhatsApp APIs would scale directly with success. A self-hosted system was mathematically more economical.
Who owns the system after delivery?
The client owns 100% of the code, database schemas, and infrastructure. Everything runs on servers they control outright, with complete documentation.
Is a custom build always the answer?
No. It is the exception. Most assessments end in a 3-to-7 tool prescription and a 4-day quickstart plan. We only propose a custom build when discovery proves that off-the-shelf software would become an operational tax.
How long did delivery take?
The first production workflow was live within six days of locking scope. The complete three-workflow engine followed shortly after thorough QA testing.
